Digital Vision launches ‘Proof-of-Delivery' (PoD) automation to boost accounts receivable efficiency
17th July 2007 Digital Vision has launched a proof-of-delivery scanning and automation solution to boost accounts receivable efficiency and streamline credit control management. The proof-of-delivery document management and imaging solution is designed to increase the efficiency and traceability of customer accounts receivable transactions, providing instantly accessible signed proof-of-delivery (PoD) images to help resolve claims and improve customer relations.
According to Digital Vision, the PoD solution brings considerable commercial benefit for organisations such as distributors and manufacturers, who make large numbers of deliveries to customers and who face frequent claims of non-delivery or incorrect delivery of goods, and the resulting issues of non-payment.
The solution gives authorised staff immediate access to images of the signed PoD documents, with links to original orders and consignment documentation, which can then be emailed to the customer, offering valid legal evidence that a delivery has been made. This helps to reduce the number of disputed payments and customer claims, improving cash flow through the business.

By using our Alfresco based PoD solution, organisations only pay annual support costs, plus the cost of a Kofax scanning solution where needed. The solution uses Kofax's powerful functionality to automatically index Proof of Delivery documents; enabling organisations to search and retrieve documents by delivery date, customer name or PO , and also by invoice number or consignment number, ensuring designated staff can easily access proof of delivery images.
Self-service options are available via the Internet to permit haulage and logistics operators to upload signed and scanned PoDs directly into the system. The same module, via controlled login, also enables both larger customers and the haulage companies to access the system and see all of the PoDs relating to their transactions without needing to contact the credit control team or logistics. This further streamlines accounts receivable and cash collection operations by putting debts beyond dispute.
